Details: Projects
The Details page displays key information about the project.
General Info and Schedule
The following fields provide general information about the project, including estimated and actual dates and the primary asset, and are found on the left and center column of the Project Details page:
-
Name: Name of the project. This field is displayed in the Project List and the Work Center header.
-
Repair Center/ Shop/ Account/Category: Organizational attributes of the project. The Repair Center field is populated by default based on the repair center of the user creating the project.
-
Supervisor: Supervisor of the project.
-
Asset/Location: The asset or location to which the project is associated. The available Actions field provides options for designating an asset, exactly as described for the Work Order Details tab.
If this project was created from a project plan, the asset designated during project generation will be displayed.
-
Target Date: The target date for completion of the project.
-
Estimated Start/End: Estimated start and end date for the project. The estimated end date can be the same as the target date, or an earlier published date.
-
Actual Start/End: Actual dates on which the project started and ended.
-
Zone: Zone in which the project is being completed.
Status
The status of the project, displayed in the upper-right hand of the Project Details page, indicates its current state. Depending on the process used at your organization, constraints may be placed on changing status until a project has been approved. This means you may not be able to start a project until it has received the required approval.
The status of the project is changed by selecting the Action control next to the Status label or by using the buttons at the bottom of the page. The options at the bottom of the page depend on the current state of the displayed project.
The status automatically changes when you select a new value from the Action field. It is not necessary to save the change.
The status options are described in the list below:
-
Requested: The project is automatically set to Requested status upon creation. Projects in this status are waiting to be started or denied.
-
Started: The project is typically changed to Started status to indicate that it is in progress. Projects that have been previously canceled, denied, or placed on hold can be restarted.
-
Denied: Projects can be denied. Changing a project to denied places it into a general closed state. Once a project has been denied, it can be accessed at a later date and restarted.
-
On-Hold: Projects in a requested or started status can be placed on hold. This status is similar to denied, although it keeps the project in a pending state indicating that it may be restarted at a later date.
-
Canceled: Projects that have been started can be canceled, indicating that they no longer should be acted upon. Changing a project to canceled places it into a general closed state. Once a project has been canceled, it can be accessed at a later date and restarted.
-
Closed: Projects that have been completed are changed to a status of Closed.
-
Deleted: The Delete option, also available on the Action field, does not just change the status of the project, it permanently deletes it. This option should only be used when a project is created in error.
Approval
The Approval area of the Project Details page is displayed directly below the status. Depending on the business process used at your organization, projects may require approval before being processed or started. If no approvals are required, the words Not Required will be listed in the Approval section.
A project may require more than one level of approval. The number of approvals required from different users or administrators is listed beneath the Approval header. Once the project has been approved, the date of approval and initials of the individual who approved will be listed in the Approval section.
The Action button to the right of the Approval label is used to approve or reject a project request. Clicking the Action button displays the Approval Action field.
You must be a member of an access group with permission to approve projects to process approval.
-
Approve: If authorization/approval is required, selecting Approve from the Action field will approve the project. It is not necessary to click Save after processing an approval; the approval takes effect automatically.
-
Reject: If authorization/approval is required, selecting Reject from the Action field will reject approval of the project. It is not necessary to click Save after processing a rejection; the rejection takes effect automatically.
