Work order expert features

This article compiles various tips for using the Work Order module, sharing some of the more lightly used (but still awesome!) Work Order features along with some best practices we've discovered over the years.

ClosedCalendar Sharing

Calendars displayed throughout Maintenance Connection can be shared to a default calendar application such as Microsoft Outlook, or to a third party calendar program such as online applications of Outlook. This feature allows Maintenance Connection Assignments or targeted Work Orders to display on the designated calendar. Once shared, the data will update based on synchronization settings in the calendar program.

This feature only exports calendar data to a third party calendar program; no data is synchronized back from a calendar program into Maintenance Connection.

Calendars displayed on the Home Page (Work Manager and Labor Calendar), the Labor module Schedule tab and Work Order Assign tab can all be shared to a calendar application. Follow the steps below to share a calendar:

  • Open the calendar to be shared. This can be the calendar of a specific Labor resource, Shop, Shift, etc.
  • Click on the Share Button on the far right of the calendar displayed

  • The Share Calendar dialog will appear, providing options to share the currently displayed calendar.

  • To enable sharing for the displayed calendar, click the Enable Sharing for this Calendar checkbox.

The Share Calendar dialog provides the ability to share with your default calendar program, or with a third party calendar program. Share with your default calendar:

  • Click the link that indicates: Click here to share this calendar with your default calendar program.
  • The exact steps to complete the sharing process will vary depending on your default calendar program. The following instructions are based on Microsoft Outlook as an example.
  • You may receive a warning prompting you to confirm that you wish to allow Maintenance Connection to open your calendar program and proceed. If presented with this warning, click the designated option to proceed (e.g., Allow).
  • Your calendar program should open, prompting you to confirm that you wish to add this calendar and subscribe to updates. Click the option to proceed (e.g., Yes).
  • The imported calendar should open and display as an "Other Calendar" or "Shared Calendar." Assignments without a designated assignment time will show at the top (as all day events). Assignments with a specific time will show at the correct time, with a duration matching the assignment hours.

  • If necessary, open the calendar item to display all available information (depending on calendar view, you may only see partial information until opened).
  • Once shared, your calendar will be updated from Maintenance Connection based on synchronization settings in your calendar program.

Share with a third party calendar:

  • Copy the URL provided in the Share Calendar dialog.

  • Now, access your third party calendar program. The exact steps will vary depending on the third party calendar program in use. The following instructions are based on the Outlook Web App.
  • Select the option to add the calendar. In the Outlook Web App, right click on the Other Calendars and select Open Calendar from the list of options (Google Calendar users would select Other Calendars and choose the Add by URL option):

  • A dialog will display, prompting you to paste the URL that was copied in the first bullet above. Paste the URL into the Internet calendar field, and click Open.
  • The contents of the calendar should display. Assignments without a designated assignment time will show at the top (as all day events). Assignments with a specific time will show at the correct time, with a duration matching the assignment hours.

  • Opening the calendar item should display all available information, including the Asset ID and Name.
  • Once shared, your calendar will be updated from Maintenance Connection based on synchronization settings in your calendar program.

You can get more use out of the Calendar Sharing feature by adding Assignment Times to your Work Orders. This allows calendars to show Work Orders for specific times, rather than as an all-day event. For more information on this, check out the How to Assign a Work Order article.

ClosedEmail to Work Order Manager: Create Work Orders via Email

The Email to Work Order Manager allows organizations to automate the creation of a Work Order through receipt of a specially formatted Email, often originating from another system. This feature is often used by organizations with automated alarm systems, prompting a Work Order to be created when an alarm is triggered. The feature can also allow individuals in locations without access to Maintenance Connection to initiate a request through an Email. Using the Email to Work Order Manager to create Work Orders from a third party system can avoid more costly custom integrations.

ClosedEmail to Work Order Manager Requirements

In order to use this feature:

  • Your organization must have a dedicated POP3 Email Account to which the requests can be sent.
    • If your organization's Email system does not support POP3, you will need to obtain a POP3 account from an available provider.
    • Every request received is processed into a Work Order, so the account must be dedicated for this purpose. Since all Emails received by the account will result in Work Orders, it is ideal to ensure that proper "junk mail" filters are in place to avoid creation of unintentional Work Orders.
  • The MC Agent must be installed. This is an optional feature of Maintenance Connection that is used to process automated requests such as Email notifications and scheduled reports. If you are not sure if the MC Agent was purchased and installed at your organization, contact your Implementation Consultant or our Customer Success Team.
  • The fields that are populated through the Email to Work Order Manager (Requester Information, Requested Date, AssetID, and Reason) must be sufficient for your organization's use, as no additional fields can be specified.

ClosedHow to Subscribe to a POP3 Server

As mentioned above, you must set up a dedicated POP3 email account to use the Email to Work Order Manager. If your current email does not support POP3, you can set up a mailbox for this account on a subscription-based web service like Rackspace. Once this web service email is in place, the mailbox will be able to receive Work Order requests and forward them to Maintenance Connection without interference.

Set up your dedicated requests mailbox with Rackspace:

  • First, you'll need to get a Rackspace subscription by going to the Rackspace Signups page.
  • Select your desired subscription plan and set up your Work Order requests account.
  • Once you've subscribed to Rackspace, you can set up your mailbox by going to the Rackspace Email Help Tool.
  • Enter the Email and Password for your dedicated requests account.
  • Once signed in, select the Set Up Email button, and you will be guided through the setup process.

ClosedFormat of Email

Once a dedicated POP3 Email address has been defined, the source system must be set up to generate an Email to this account (e.g., XYZServiceRequests@xyz.com) for each request. Data entered into the Email will be used as follows:

  • Asset ID: In order to populate the correct Asset on the Work Order, Asset ID must be specified in the Subject Line. The value must be an exact match, so no "FW, RE:" or other text can be included. If a proper Asset ID is not specified in the Subject Line, the work order will be created without an Asset association.
  • Work Order Requested: Email Date will be used to populate the Work Order Requested Date/Time field.
  • Work Order Reason/Request Info: The reason for the request must be specified in the Body of the Email to populate the Work Order Request Info field.
  • Requester Info: The Requester ID/Name, Phone and Email will also be populated into the Work Order if Maintenance Connection can match the "Email From Address" against the address specified for an existing Labor or Requester record in the system.

ClosedEmail to Work Order Manager Setup

Maintenance Connection Support Staff is available to assist you with the setup of the Email to Work Order Manager tool. The following is intended as a general guide, using a Local SMTP Email address (XYZServiceRequests@xyz.com) as an example.

  • To access the Email to Work Order Manager tool, click Tools>System>Email to Work Order Manager.
  • The Email to Work Order Manager will open. At most organizations, only one Email interface is defined. Click New to create a new interface definition (or Edit the existing record if it has already been established).
  • The New Email Interface dialog will open, allowing you to define the correct parameters.
  • Enter values for the following field prompts:
    • Interface Name: Enter a descriptive name for the interface (e.g., "XYZ System 3 Alarm Interface").
    • Interface Order: Can be left blank unless you will be setting up multiple interfaces.
    • Remote Hos:: Enter the Remote Host for the provider. For example, "pop.xyz.com" or "outlook.office365.com"
    • Port Number: Specify the Port Number (usually "995" for SSL or "110" for non-encrypted).
    • User Name: Enter the specified user name (this does not have to be an entire email account address)
    • Password: Enter the Password for the specified Email address/account
    • Security Word: This is not required.
    • Authenticate Method: For most providers, specify: "Standard Authentication."
    • Active?: Ensure the Active? indicator is set to "Yes."
  • No other prompts on the setup tool need to be set. Additional options are placeholders for future intended functionality.
  • Click Save to exit the dialog, followed by Close to exit the Email to Work Order Manager.

Once the email address is established, and the tool is set up, an Email should be created to test the interface. In the following example, an Email from Susan Doe (sdoe@xyz.com) to the specified address (requests.xyz@xyz.com) resulted in a Work Order with the Request Info, Requested Date, Asset and Requester populated.

ClosedHTML: Embed Within MC

Users can embed HTML into several different text fields in Maintenance Connection, allowing you to enhance the display of information. For example, you can modify the Task on a Procedure or Work Order to include text formatting (Color, Bold, Italic, etc.) or images. You can use it in the report Custom Expressions, in various text fields like the Reason field of the Work Order module, and in almost any Name or Description field.

Save the Work Order.

All you need is a little knowledge of HTML syntax, and you can begin enhancing your information views.
