Common Asset Actions

The following expanding sections explain common tasks you are likely to perform while working with assets.

ClosedRemove an Asset from Service

Requirements

  • Appropriate user permissions

  • You must be on the Asset Summary or Asset Detail page

  • Asset is currently in service

Remove the asset from service:

  1. Access the Asset Summary or Detail page.

  2. Tap Action in the section header.

    The Action menu opens.

  3. Select Remove from Service.

    The Remove from Service page displays.

  4. If necessary, use the Calendar tool to change the value of the Shutdown Date/Time field.

  5. Enter any explanatory information into the Reason field.

    These comments are stored with the downtime history record.

  6. Tap Save.

    The asset is removed from service and an associated downtime history record is created.

ClosedReturn an Asset to Service

If the asset is tied to date-based PM Schedules and the asset has been out of service for more than a designated period of time, you may receive a warning regarding PM Schedules that may be affected by this downtime.

Since PM Schedules cannot be adjusted from within MC Express, the warning includes a link to initiate an email to a supervisor (or yourself) as a reminder to review the PM Asset record prior to the nightly generation of PM Work Orders.

Requirements

  • Appropriate user permissions

  • You must be on the Asset Summary or Asset Detail page

  • Asset is currently out of service

Return an asset to service:

  1. Access the Asset Summary or Detail page.

  2. Tap Action in the section header.

    The Action menu opens.

  3. Select Return to Service.

    The Edit Downtime page displays. The appearance of the page will vary based on how your organization enters downtime.

  4. Follow the appropriate procedures below.

ClosedEdit Downtime Set with Elapsed Time

If your organization is configured to set downtime by entering elapsed time, the Shutdown Date and Downtime fields will be editable on the Edit Downtime page. The Return to Service Date/Time field will not be editable.

Edit downtime:

  1. Follow steps 1-3 in the Return an Asset to Service procedures above.

  2. Use the Calendar tool to modify any date fields that need to be updated.

    When you change the value of the Shutdown Date/Time field, the Return to Service Date field will recalculate based on the downtime you entered.

  3. Modify the value in the Downtime field if necessary.

    Changing the downtime will result in the recalculation of the Return to Service Date/Time.

    Downtime is stored in the historical record in whatever increment you specify. If you change the increment from Hours to Days, the downtime will recalculate and this value will be stored in the Downtime History record.

  4. Enter or modify the Reason field as needed.

    These comments are stored with the downtime history record.

  5. Tap Save.

ClosedEdit Downtime Set with Shutdown and Return to Service Dates

If your organization is configured to set downtime by entering both the Shutdown and Return to Service values, these fields will be editable on the Edit Downtime page. The Downtime field will not be editable.

  1. Follow steps 1-3 in the Return an Asset to Service procedures above.

  2. Use the Calendar tool to modify any date fields that need to be updated.

  3. If necessary, modify the downtime units to change the increment at which the downtime record is stored.

  4. Enter or modify the Reason field as needed.

    These comments are stored with the downtime history record.

  5. Tap Save.

ClosedUpdate Meter Readings

Requirements

  • Appropriate user permissions

  • You must be on the Asset Summary or Asset Detail page

  • Asset is configured to use meters

Update meter readings on an asset:

  1. Access the Asset Summary or Detail page.

  2. Tap Action in the section header.

    The Action menu opens.

  3. Select Update Meter Readings.

    The Update Meters page displays.

  4. Enter the current reading for either Meter 1 or Meter 2.

  5. Update the designated units if necessary.

  6. Tap Save.

ClosedMove an Asset/Change the Parent Asset

Requirements

  • Appropriate user permissions

  • You must be on the Asset Summary or Asset Detail page

Move the asset to a new location in the Asset Hierarchy:

  1. Access the Asset Summary or Detail page.

  2. Tap Action in the section header.

    The Action menu opens.

  3. Select Move to New Location.

    The Move Asset page displays.

  4. Choose between two options:

    • Enter the name of the new location in the New Parent field.

    • If you need to look up the new location:

      1. Tap the label of the New Location field.

        The Asset Lookup page opens.

      2. Select the new location.

  5. If necessary, use the Calendar tool to change the value of the Move Date field.

    The Move Date field will default to the current date.

  6. Tap Save.

    An Asset Move record will be created, recording the date the asset was moved.

ClosedCreate a Work Order for an Asset

Requirements

  • Appropriate user permissions

  • You must be on the Asset Summary or Asset Detail page

Create a work order for an asset:

  1. Access the Asset Summary or Detail page.

  2. Tap Action in the section header.

    The Action menu opens.

  3. Select Create Work Order.

    The New Work Order page displays with the correct asset selected and the Reason field populated with the asset's name.

  4. Follow the Create a Work Order procedures.

ClosedSet an Asset Photo

Requirements

  • Appropriate user permissions

  • You must be on the Asset Summary or Asset Detail page

Set an asset photo:

  1. Access the Asset Summary or Detail page.

  2. Tap Action in the section header.

    The Action menu opens.

  3. Select Set Asset Photo.

    The options that are available will depend on whether or not a camera is detected on the device being used. If no camera is detected, a file directory of existing images will be displayed to allow you to select an image to upload. If a camera is detected, you will first be prompted to indicate if you want to take a photo or upload an existing photo.

  4. Follow the appropriate procedures below.

ClosedUpload Existing Photo/Image

  • With the file directory displayed, locate and select the image to upload.

    MC Express will proceed to upload the image. The time that this will take will depend on the size of the image, as well as your connection speed.

    When the image is uploaded, the Asset Summary page refreshes with the new image displayed.

ClosedTake Photo

This option is only available if your device supports this feature.

  1. Select the option to take the photo.

    The exact description will vary by device. Your camera should open.

  2. Take a photo.

    Your device will show the image to you and ask you whether this image should be used or retaken.

    Once accepted, MC Express uploads the image. The time that this will take depends on the size of the image, as well as your connection speed.

    When the image is uploaded, the Asset Summary page refreshes with the new image displayed.

ClosedView or Print an Asset's Barcode

Requirements

  • Appropriate configuration

  • You must be on the Asset Summary or Asset Detail page

View or print a barcode for an asset:

  1. Access the Asset Summary or Detail page.

  2. Tap Action in the section header.

    The Action menu opens.

  3. Select View Barcode.

    A new tab opens in your browser, displaying the barcode and providing an option to Print if you have a label printer available.

    The barcode size shown on your device will not necessarily reflect the size it will print, as your browser will manipulate the image to make it show best on your device.

  4. Print the barcode using your system's print functionality.

ClosedAsset Task List

Requirements

  • Appropriate configuration

  • Accessible from the Asset section of the Home Page, the Asset List, and the Asset Summary page

The Asset Task List feature allows you to view and complete tasks tied to an asset from a single page, even when the tasks are listed on separate work orders. This feature is most commonly used to quickly complete inspections.

Depending on your organization's configuration, you may see tasks directly associated with the asset's work order, or tasks tied indirectly through a linked asset.

Use the asset task list:

  1. Navigate to the Asset section of the Home Page, the Asset List, or the Asset Summary page.

  2. Tap Action in the section header.

    The Action menu opens.

  3. Select Asset Task List.

    If you selected this option from the Home Page or the Asset List, the Select Asset page opens.

    If you selected this option from the Asset Summary or Detail page, the Task List will automatically display for the current asset. If you want to view the tasks for a different asset, tap the Done button on the blue footer bar and the Select Asset page will open.

  4. Choose between two options:

    • Enter the name of the asset:

      1. Enter the name of the asset in the Asset field.

      2. Tap the Proceed button.

        The Asset Task List displays for the selected asset. A separate section appears for each open work order on which the asset has an identified task.

    • If you need to look up the asset:

      1. Tap the label of the Asset field.

        The Asset Lookup page opens.

      2. Select the asset.

  5. Choose between three options:

    • Complete Task: To mark a task as complete, tap the flag. If the flag is currently gray, this will mark the task as complete and change the flag color to green. If the flag is currently green, this will revert the task to incomplete and switch the color back to gray.

    • Edit Task or Reading: If you need to edit the task to mark as failed or enter a reading, select the record. The Edit Task page displays, allowing you to edit the reading or mark the task as Failed. Depending on your organization's configuration, you may also be prompted to enter Task Comments.

      When you are finished editing the task, tap the Save or Save Next button on the blue footer bar. Save Next will navigate you to the next task available on the for the currently focused work order. Save will return you to the Asset Task List with your changes saved.

    • View Work Order Reason: If you would like additional information on the work order, tap the Work Order ID on the black header bar. A pop-up window opens, showing the work order reason.

  6. Tap the Done button.

    The Select Asset page opens.

  7. Tap Cancel from to exit the Asset Task List feature.

ClosedDelete an Asset

Deleting an asset deletes all associated data and child records. Assets are rarely deleted. They are typically only deleted if they were recently created in error. Instead, assets are typically taken out of service and moved to an inactive node of the Asset Hierarchy.

Requirements

  • Appropriate user permissions

  • You must be on the Asset Summary or Asset Detail page

Delete an asset:

  1. Access the Asset Summary or Detail page.

  2. Tap Action in the section header.

    The Action menu opens.

  3. Select Delete Asset.

    A dialog box opens, asking you to confirm your choice.

    Deleting an asset deletes the record, any child records, and all associated data, such as asset specifications, parts, vendors, and other records. Deleting the asset will also remove any association from work orders.

  4. Tap the Yes button.

    The record is deleted and you are returned to the Asset List.
